01 / What your offer needs

What your offer needs

Offer in-person and online sessions

An introduction in your seminar room and a compact online evening session: create a course with its own time and capacity for each format.

Your tool. Your online seminar.

Create the meeting in your video-conferencing tool. Add its link and, if needed, an access code and password to the course’s participant notes.

Joining details after a confirmed booking

For a paid online session, customers receive the participant notes with their booking documents after successful payment and a confirmed course booking. Access approval alone does not replace this step.

Four steps to your setup

  1. Set up in-person or online delivery

Add the provider and a suitable location for in-person, online or mixed delivery. Select the appropriate delivery type for each course.

  2. Create open and request-based options

Create direct single-booking options for the introduction and online evening seminar, plus a separate request-based option for the advanced seminar. Personal approval remains separate from purchase and booking a place.

  3. Add dates and joining details

Create the courses with twenty places each and assign their booking options. Create the online meeting in your own tool and add its link, access code and any password to the participant notes.

  4. Review booking and participation details

Use prepared example data to check that the delivery type is clear and that the valid ticket for the booked online session shows the correct joining details. Buying a punch card or subscription separately without booking a session is not enough.

Access and price are separate properties.

04 / The participant experience

The participant experience

  1. Book an online session

The participant selects the online evening seminar and buys its single booking. Payment and the course booking must be successfully confirmed.

  2. Receive joining details

The participant notes are provided with the booking documents. The valid ticket shows the meeting link and, where needed, the access code and password.

  3. Join the online seminar

At the scheduled time, the participant opens the link and joins your meeting in the chosen video-conferencing tool. You run the seminar there yourself.

  2. View joining details in the valid ticket

Variations and important distinctions

Video conferencing with your own tool

Organize the meeting yourself, for example in Zoom or Microsoft Teams, and add its joining details to courseplanner. Participants book through courseplanner and attend the live event in the external tool. You manage that tool’s account, settings and any fees separately.

A multi-day seminar

An offer can be described as one multi-day event. This is not a flexible block assembled from independently linked course bookings.

Booking organization rather than a learning platform

Learning content, exams, certificates, automatic prerequisite checks and consolidated business invoicing are not part of this workflow.

Questions about this example

Does the app automatically check completion of the introduction?

No. In this example the provider personally checks the requirements and can then approve access to the advanced option.

Does approval mean a seminar place is booked?

No. Approval grants access to the booking option. Purchase and booking a specific event are separate steps.

Can the advanced seminar have a fixed price?

Yes. Access on request can be combined with a paid single-booking option. Approval does not automatically make the offer free.

Can I run online seminars using Zoom or Microsoft Teams?

Yes. Set the course to online and create the meeting yourself in your video-conferencing tool. Add the meeting link and any access code or password to the participant notes. courseplanner does not create or host the video conference itself.

When do customers receive the link and password?

For the paid online session shown here, they receive them through the booking documents after successful payment and a confirmed course booking. The notes are also available in the valid ticket. Put joining details in participant notes, not the public description. Buying a punch card or subscription without booking a specific session does not send access to a session.
